Job Description (JD)

The Purchase Executive is responsible for managing end-to-end procurement activities to support leasing and fit-out operations for office spaces. This role ensures timely sourcing of materials, vendor coordination, and cost optimization while maintaining quality and compliance standards.

The position plays a vital role in supporting the company’s commercial projects by procuring furniture, fixtures, materials, and services required for workspace design, renovation, and daily operations.

Procurement & Sourcing

  • Identify reliable vendors and suppliers for furniture, fixtures, electrical, and interior materials.
  • Obtain and evaluate quotations to ensure competitive pricing and quality standards.
  • Issue purchase orders (POs) and follow up on timely deliveries.
  • Maintain an updated database of approved vendors and price lists.

Cost & Inventory Management

  • Negotiate rates and contracts to achieve cost savings without compromising quality.
  • Track purchase budgets and ensure adherence to approved cost limits.
  • Coordinate with the stores/warehouse team for stock levels and inventory control.

Coordination & Documentation

  • Collaborate with the design, project, and finance teams to understand material and budget requirements.
  • Ensure proper documentation of purchase orders, invoices, and delivery challans.
  • Support the finance team in vendor bill verification and payment processing.

Vendor Relationship Management

  • Build and maintain strong vendor relationships to ensure reliable supply.
  • Evaluate vendor performance based on quality, timeliness, and service.
  • Resolve vendor-related issues or disputes in coordination with management.

Compliance & Reporting

  • Ensure adherence to company procurement policies and approval hierarchies.
  • Maintain accurate purchase records and generate periodic procurement reports.

Assist in audit processes related to procurement and inventory.

  • Good analytical and negotiation skills for price comparison and vendor evaluation.
  • Knowledge of basic accounting and documentation for purchase and payment processes.

Job Specification Technical Competencies

  • Strong understanding of procurement processes, purchase cycles, and vendor management.
  • Working knowledge of interior fit-out materials, furniture, HVAC, electrical, and civil items used in commercial office projects.
  • Ability to read and interpret BOQs (Bill of Quantities), design drawings, and material specifications.
  • Proficiency in MS Excel, Google Sheets for tracking orders, budgets, and vendor performance.
  • Skilled in negotiation and cost comparison to ensure optimal pricing and value.
  • Good understanding of GST, purchase order documentation, and basic accounting entries related to procurement.
  • Experience in coordinating with design, project execution, and finance teams to align purchase requirements with timelines and budgets.
  • Excellent data management and reporting skills to maintain purchase logs and vendor records.
  • Strong communication and interpersonal skills to liaise with vendors, contractors, and internal stakeholders.

Ability to manage multiple procurement activities simultaneously under tight deadlines.

  • Bachelor’s degree in Commerce, Business Administration, Supply Chain, or related field.

1–3 years of experience in procurement or purchase function, preferably in commercial real estate, coworking, or interior design industry.
