Job Description (JD) – Community & Facility Operations Manager

Position Title: Community & Facility Operations Manager

Department: Community & Facility Manager

Location: Baner, Pune

Employment Type: Full-time

Experience Required: 4 – 7 years of relevant experience

1.Key Responsibilities

A. Strategic Operations Management

• Define, implement, and continuously improve operational policies, SOPs, and service standards for all facility and community operations.

• Develop and monitor annual operational plans, allocate budgets, and performance targets for all sites.

• Align departmental goals with organizational objectives to ensure cost efficiency and service quality.

• Drive innovation in facility management and community engagement practices.

B. Facility & Community Operation Managements

• Supervise all technical and soft services, including housekeeping, electrical, plumbing, HVAC, and pest control.

• Ensure timely AMC, vendor service delivery, and preventive maintenance schedules.

• Conduct regular site inspections and prepare facility audit reports.

• Maintain documentation for equipment, licenses, fire safety, and AMC vendors.

• Track utility consumption and coordinate for repairs or replacements as required.

• Oversee community executives and ensure smooth handling of tickets, escalations, and service requests.

• Ensure client issues are resolved promptly with proper communication and documentation.

• Maintain high standards of client satisfaction through proactive engagement and feedback.

• Conduct regular meetings with clients and internal teams to address service improvements.

C. Vendor & Resource Management

• Identify, evaluate, onboard, and manage third-party vendors for facility and operational services.

• Verify service deliverables, quotations, and payment approvals in coordination with procurement.

• Maintain a vendor database and performance tracking system.

• Negotiate contracts to ensure quality service at optimal cost.

D. Documentation & Compliance

• Oversee and maintain all operational documentation Maintain updated records for AMC, licenses, handover documents, and safety compliance.

• Ensure all facility and operational documentation is readily available for audits.

• Develop and maintain SOPs for recurring operational activities.

E. Team Supervision & Reporting

• Supervise community executives, facility coordinators, and support staff.

• Review weekly and monthly reports on tickets, AMCs, stock consumption, and maintenance.

• Drive accountability within the team through clearly defined responsibilities and reviews.

• Provide training and support to improve team performance.

F. Process & Administration

Support management in planning new operational strategies and optimizing costs.

Coordinate with design, projects, and community teams for new site activations and understandings

Ensure alignment with company policies, safety standards, and operational process.

3. Experience & Qualification

Bachelor’s degree in Engineering(civil),Architecture / Facility Management / Operations Management (preferred).

5+ years of experience in facility or community operations, with exposure to corporate or commercial spaces.

Proven experience managing teams, vendors, and multiple locations.
